Fairtime Tent Requirements & Rental Services:
For the 2026 New York State Fair no pop-ups are to be used. Vendors must use the State Fairs contracted tent suppliers when renting a tent for serving, storing, or shelter. Any vendor planning on renting a tent will need to complete the Preferred Tent Order Form by Friday, July 24, 2026, for processing. The Fair will notify the selected contractor chosen on the form who will then reach out to you to coordinate size, payment, and any other details - it will be the responsibility of the vendor and selected contractor to finalize this information. Any changes must be coordinated through the Fair first for approval. All tent rentals must be applied for through the State Fair Tent Rental Form.

Electric Order Form:
Your electrical needs will be determined from the information provided on your order form. If, upon arrival, your electrical needs have changed or increased, an additional electrical fee may be charged.
- Placement is partially based on your application information. If your electric request is much larger than what you indicated on your application, you may need to be relocated and incur a $250 contract Change Fee.

Vendor Decor Order Form:
The New York State Fair contracts with a decorator for pipe and drape, tables and chairs, rugs, etc., for the 13-day Fair. Vendors in need of additional Items for their booth or location must use the preferred decorator and use the decorator form to request items. Please complete the Vendor Decoration Order Form by no later than July 24, 2026, to ensure your décor arrives before opening day of The Fair.
- Tables and Chairs are not included in space rentals.

Ice Services:
Vendors needing ice and ice chest freezers* must use the Fair’s approved vendor for delivery to the Fair. Please contact the approved Ice Vendor via phone or email to establish a contract with the Ice vendors, and to place your ice services order.
- Ice Chests are included when establishing your contract with the Ice Vendor.
- Provided Ice Chests are NOT for storing food/beverages or anything other than ice.
- * Vendors ordering chest freezers will need to provide their own combination lock, not a key lock.

Vendor Golf Cart Application:
- All golf cart usage on the grounds is restricted to approved Fair time vendors only.
- The use of Golf Carts during the New York State Fair is limited to special circumstances where a special need has been demonstrated, and only when a New York State Fair Golf Cart Permit has been issued.
- Golf Cart Permit Applications must be completed and submitted by August 12, 2026.
- Information regarding Golf Cart permits will be found HERE at a later date.
2026 State Fair Vendor Fire Extinguisher Training:
- All vendors and exhibitors that meet the following criteria MUST participate in and annual Fire Extinguisher course to operate at the New York State Fair.
- ANY Food Vendor, vendor who requires fire/ high-heat heat to operate their stand.
- This includes cooking tents that have been grandfathered in, food trucks/trailers, and vendors who operate permanent cook stands.
- Vendors outside, and under tents (All outdoor tents must have fire suppression equipment)
- Anyone who would like to get trained on proper fire extinguisher training.
- This training will go over how to properly use a fire extinguisher on an active fire, including a demo from The NYS Office of Fire Prevention and Control, and a simulation exercise that all attendees must complete. Please see the available times below and send at least one person to participate in this mandatory training from EACH STAND you operate. Attendance is mandatory for all applicable stands and vendors.

Bottled Water Services Program:
For 2026, there is no sole source provider for water this year. Vendors can select any size bottled water they want to sell for a maximum price of $3, and they may purchase from any supplier/store they choose. Please note, no water can be sold for more than $3. Vendors may choose to sell water for below $3, but they cannot price any water bottle at more than $3. These bottled water guidelines are in place for the 2026 Fair and are subject to change in subsequent years.
Bag Waste Reduction Law:

Cannabinoid Hemp Product License:
Vendors planning to sell cannabinoid hemp products at the New York State Fair, must be an approved vendor accepted by the New York State Fair Concessions Department. You are required to obtain a Cannabinoid Hemp Retail License or Temporary Retail Permit from the New York State Office of Cannabis Management (OCM) before selling cannabinoid hemp products to consumers at the New York State Fairgrounds. A copy of the license or permit must be provided to the Department before any agreement is approved by the Department for the sale of cannabinoid hemp products onsite. Contractors found to be selling cannabinoid hemp products that are not licensed/permitted, will be asked to immediately remove those products from their licensed space. Failure to remove cannabinoid hemp products that are not licensed/permitted by OCM or failure to obtain the required license/permit from OCM will result in termination of this Agreement. In concurrence with our no smoking policy, the sale of Cannabinoid Hemp products that can be smoked or used in a vape pen are not allowed for sale.
Fairgrounds Internet and Wi-Fi Information:
- Service providers that vendors and exhibitors can contact to provide wired/wireless internet and/or Wi-Fi services.
- Internet and Wi-Fi providers for the 2026 State Fair are TBD at this time.
